New York Year-End Report Activity Table Instructions
UniversitySite provides the New York Year-End Report Activity Table for law firms who are accredited providers to reference and send to the New York Board at the end of the year. This table provides a helpful snapshot and breakdown of general information of all courses with New York credit rendered in the year for New York attorneys.
It can be reached by selecting Reports from UniversitySite’s Main Navigation Bar. Then select Year-end Report Activity Detail for New York from the list under the CLE/CPD section.
The Activity Table lists each course provided by your firm that awarded New York credit for the selected year. Most of the data can only be viewed, but the Average Fee Per Participant and Financial Aid columns have fields that can be edited.
The Program/Course column populates the following data:
- NAME – The title of the program.
- Content appropriate for newly admitted attorneys? This information is taken from the audience selected on the Course’s credits page.
- Ethics and Professionalism credit issued? – Yes or No according to whether the Course (for On-Demand) or the Event (for Events) has Ethics & Professionalism credits assigned.
- Diversity, Inclusion and Elimination of Bias credit issued? – Yes or No according to whether the Course (for On-Demand) or the Event (for Events) has Diversity, Inclusion & Elimination of Bias credits assigned.
- Cybersecurity, Privacy and Data Protection - Ethics credit issued? – Yes or No according to whether the Course (for On-Demand) or the Event (for Events) has Ethics – Cybersecurity, Privacy and Data Protection credits assigned.
- Cybersecurity, Privacy and Data Protection - General credit issued? – Yes or No according to whether the Course (for On-Demand) or the Event (for Events) has General – Cybersecurity, Privacy and Data Protection credits assigned.
- Date – For On-Demand programs, this will be the Date Recorded put in at the Course Level under the On-Demand section.
If this date is not filled in, the report will show an individual row and date for each person that took it. If you enter the Date Recorded, you will have all attendance on one line, which is how the New York Board needs to see it.
Note: Sometimes this date can be from a previous year. Recorded programs are often good for a few years, but the Board needs the recorded date to know when it was approved.
For Events, the date populated will be the day of the event.
- County – This is only populated for live events that occurred within New York State. If the location is New York City, it will populate NYC. If the location is outside of New York City, but in New York State, the county of the location will display. If the program is not in New York State, this section will be blank.
Locations for New York are set under the Global Settings>Live Events>Office Locations and Rooms. The county is only needed for your New York locations.
The Average Fee Per Participant column can be edited with that information for each type of Course (Live, Recorded, or Other).
The Number of Credit Hours column populates the total number of credits that the Course or the event offers. For On-Demand, the credits will populate from the Course Level. For events, the credits populate according to what the event offers.
The Financial Aid Column allows you to enter the number of financial aid requests and the number granted.
The Number of New York CLE Certificates of Attendance Issued for Each Format column lists how many Certificates were issued in each of the 6 possible formats.
- Format 1: Live classroom program offered in New York State.
- Format 2: Live classroom program offered outside of New York State.
- Format 3: Fully interactive videoconference program.
- Format 4: Live simultaneous transmission where questions were allowed during the program.
- Format 5: Live simultaneous transmission where questions were not allowed during the program.
- Format 6: On-Demand/Recorded program.
If a value populates in Format 6, we will populate the format name on the space below according to the formats listed in this chart:
If you want to have something show as a particular format on the report, select your formats according to the chart.
Other Notes:
- The attendance count for On-Demand (Format 5) is pulled from the attendance at the Course Level.
- The attendance count for all other formats is pulled from the attendance at the Event Level.
- Only attendees who have Practitioner Details for New York on their profile are counted.
- Instructors are not part of the count.
