How to AI Scan PDF Certificates
The AI Scan feature allows uploaded PDF Certificates to automatically be entered into a new Activity. This optional feature allows administrators to quickly and accurately enter in all of the relevant CLE information into UniversitySite.
Note: This feature is currently only available for New York Certificates, but it will continue to be expanded to other jurisdictions.
Steps to AI Scan a Certificate
- Select the Add Activity button at the bottom right of a Learner's Compliance Report:
- Select the Scan from NY CLE Certificate PDF button at the top of the New Activity window.
- The AI Scan feature will show this error if it receives an invalid Certificate.
- The following warning message appears if the Certificate is for a different name than the User. Either select Keep Changes or Undo Changes to remove the uploaded Certificate.
- This warning message appears if this Certificate's information is similar to another Activity's information:
- The feature will then display a preview of the Certificate to the left of the New Activity screen. An AI badge shows next to each field that it has added from the Certificate's information.
- Verify that all of the information the AI Scan feature has added is accurate.
- Once satisfied with the new Activity's accuracy, check the I've reviewed the extracted information box and select Submit to finish creating the new Activity.
