Onboarding New Departments - Setting Roles
Like UniversitySite? Help other departments use it as well to gain further buy-in at your firm and help ensure UniversitySite stays in place. Research, Library, HR, Attorney Development/Professional Development, CLE, etc.
This article is written to help you get started onboarding other departments in InstructorSite.
Protecting your own content from editing by other department members
When you onboard new InstructorSite users from another department, it's important to ensure that they don't by mistake edit or delete any of your own content e.g. courses, events, resources, plans. The best way to prevent this is to do the following. NOTE: Administrators can edit/delete regardless of department membership.
- Create your own department if it doesn't exist
- Add yourself and any other individuals who need to work with your content in InstructorSite as Department members
- Using the Assign this department to button, assign it to your courses and plans
Giving appropriate InstructorSite roles to new department members
Normally you would want to retain control over the global settings (administrator role), the creation of audiences, tags, and sometimes plans, so you might want to give out the following roles to a new department member to allow them to use InstructorSite
- Instructor
- Course Manager
- Event Manager
- Reporter
- Resource Manager
Providing basic training to new department members
- Creating courses and assigning a prefix and Title with consistency
- Showing them how to add their department to any new courses they create
- Scheduling events
- Recording attendance
- Managing the roster manually
- Possibly creating plans
Departments become filters for courses, events, resources in LearningSite and InstructorSite
Once you've created departments and assigned them to courses, resources, and/or plans this also provides a nice way for learners to see what training content is offered by each department using department filters. You can use this to create links that could go on your LearningSite home page or that you can use to email.
