Update Your User Sync Tool

We recently updated the User Sync tool

  • support better security and (TLS 1.2.)
  • ability when using a database source to sync assistants
  • ability to sync practitioner details for CLE/CPD tracking 

We recommend all our customers update their version with the new one as soon as they are able.

IMPORTANT:  

We also recently added a User Sync Log in Global Settings in InstructorSite which provides a place to record your internal technical contact who manages your user sync, the server your user sync is running on as a scheduled task, and what your current data source is (Active Directory or a Database source).  PLEASE fill this information in so next time you need help adjusting your user sync you know who to work with.

This installation requires .NET 4.8 or newer.

Instructions

  1. You can download the new version of our user sync here.
  2. Make a backup copy of your current Active Directory Import (or "User Sync" sometimes) folder which is usually at c:\program files (x86)\Profiscience Partners\Active Directory Import (possibly 'User Sync') 
  3. Extract the contents of the downloaded zip into the original directory, overwriting ALL and ONLY the existing files with the same filename. NOTE: we are not overwriting your site specific config files with this process.
  4. Launch the new ActiveDirectoryImport.exe and visit the setup tab
    1. Confirm that your new tool still has all your previous config and looks good.
  5. Return to the Main tab and start the tool manually to confirm it runs successfully to completion and that you get the email log it emails when it completes.  You can also check your User sync log in Global Settings in the Log section.
  6. Test your scheduled task by manually running it and see that you also get the email and check the log if needed in UniversitySite to see that it ran successfully.  If you cut (rather than copied) the files and pasted them into the directory they did not inherit the parent folder permissions and this could show up as the task completing but not emailing the results and no log showing up in Global settings.

Troubleshooting steps if needed

If you see this error you may need to give the account which runs the user sync tool full permission (at least write permission) to the directory in which the tool resides

This new tool should be pointed at the URL and Access ID found in API Keys, User sync from Global Settings.  InstructorSite | Global Settings > Extensions | User Sync

If you see this 

The following issues must be resolved before the import can be started:

There was a problem connecting to the Remote Web Service.  Please ensure the settings are correct

Error: Could not establish trust relationship for the SSL/TLS secure channel with authority '[yourfirmdomain].universitysite.com'.

Edit your ActiveDirectory.exe.config and ensure the security mode is set to "Transport".  Note this is case-sensitive.

If you still see the above error, then it is likely that your server doesn't have TLS 1.2 enabled.  This is required for security by our tool.

If the tool runs successfully but the scheduled task does not result in a log entry in Global Settings (User Sync log) and the email is not received, then confirm the following for the service account running the scheduled task

Note:  The following rights are needed for the AD Import service account:

  • Local Admin Group membership
  •  Logon as a service (for scheduled task)
  •  Domain Users group membership
  •  Account must have write access to the Profsiciencē Partners program file directory where the  AD Import program resides
