FAQ on Migrating Course Attachments
What is a UniversitySite Resource?
Resources are videos or documents intended for learners as learning aids or intended for instructors as teaching aids.
Examples :
- A video introducing new laptops that will be available soon
- A document detailing how to remotely access email, documents, and other internal systems from home
- A link to an educational blog or wiki
- A guide, outline, or slide deck intended for instructors-only
What is Resource Migration?
The process used to review course attachments and to ensure they are ready to display in LearningSite's On-Demand page.
Why do they need to be migrated?
Course attachments won't appear on LearningSite's On-Demand page until they are migrated. The migration is a 3-step process that merges duplicates and ensures meaningful names are displayed on LearningSite's On-Demand page.
Does everyone need to migrate their resources? Should everyone migrate ALL their resources?
Not necessarily. If you only have "homework assignments" or tests or other course attachments that should ONLY be made available through the course they are attached to then those items do not need to be migrated. If your resources consist entirely of these you don't need to migrate resources then. Remember though that if a resource is currently hidden from learners either due to audience or because it was in a course that is hidden, it will remain hidden after migration and should retain the same visibility it had before the migration.
How does the migration process handle resources attached to multiple courses? Will dupes be displayed on LearningSite's On-Demand page?
They would have except we built in a super "de-duper".
How long does the migration process take?
The amount of effort and time required to complete the migration depends on the number of course attachments and how much care was given to naming them. On average, the process takes about 30 minutes of human effort.
What happens to course attachments?
They are de-duped, stored centrally, and then linked back to their originating courses.
Will I be able to continue attaching resources to courses?
Definitely, but you need to first create the resource, then attach it.
Is there more than one type of resource?
Yes there are two:
- Documents such as .pdfs, .docx, xlsx, etc
- Videos such as .mp4, .wmv, and web videos e.g. Youtube
How does the migration determine if a course attachment is a video or a document?
The migration recognizes video files and categorizes them as videos. Files of the following types are categorized as videos: wmv, mp4, mpeg, mov, avi, asf, m2ts, qt, wtv, dvr-ms, m4v, mpe, m1v, mp2, mpv2, mod, vob.
All other files are categorized as documents.
How does the migration determine if a resource should be visible in LearningSite?
If a resource was attached to a course that was not visible in LearningSite that resource won't be visible on LearningSite's On-Demand page, UNLESS the resource also was attached to a course that WAS visible in LearningSite.
How does the migration determine which audiences to assign to a resource?
If a resource was attached to a course that was assigned to Everyone. The resource will be assigned to Everyone. If the resource was attached to a course for attorneys and the same file was attached to a course that was assigned to secretaries, the resource will be de-duped and assigned to attorneys and secretaries.
Do I have to review resources to make sure they are properly categorized?
If you have attached links to videos such as YouTube or Vimeo, you may want to review the resources that the migration categorized as documents and recategorize them as videos. This is done using InstructorSite's Resources page.
Can tags, audiences and departments be assigned to resources?
Yes, the same way tags, audiences, and departments can be assigned to courses.
Can I be notified when someone views a resource?
Yes, visit the email section when editing that resource.
What happens when a resource is attached to a course if the audiences for the course and resource don't match?
In LearningSite, audiences assigned to resources will be ignored when accessed from a course. If someone has access to a course, they will have access to attached resources. For example, if a resource for managers is put on a course for secretaries, secretaries won't see the resource in the on-demand page, but they will see it on the course and they will be able to open it.
Will video resources and video courses appear on the Videos tab of LearningSite's On-Demand page?
Yes. To make it easy for learners, video resources and on-demand courses appear on LearningSite's On-Demand page.
How are On-Demand Courses different from On-Demand Resources?
Video Courses provide more functionality than Video Resources. Video Courses use the SCORM industry standards for eLearning which provide bookmarking and reporting of complete/incomplete, success/failure, and questions/answers. Video Courses can be grouped into plans and can award credits to learners who complete them.
