Typical Onsite Implementation Agenda
This article provides a description of the typical onsite implementation performed by Profiscience personnel.
Scheduling
To obtain reasonable airfare rates, training is typically scheduled at least two weeks after setup has been completed and any historical data has been imported. Pre-approved travel expenses are reimbursed by the customer.
Onsite training ("train the trainer") is often scheduled at the initial implementation orientation meeting with Profiscience, provided that the firm is able to commit to providing a technical resource to remote into the chosen web server for setting up User Sync and SSO as described here.
Duration
Implementation is normally scheduled for a day and a half where the first day is a full day and the second is a half-day.
Implementation is flexible and different arrangements can be made to better meet firm needs e.g. three half-days. Just work them out with your Profiscience contact in advance if different arrangements are needed.
Agenda
What follows is a general description of the process but it varies depending upon the needs of the firm.
The onsite implementation primarily consists of training provided to equip those firm staff who will be regularly using UniversitySite, and any managers who may oversee training efforts at the firm. This is typically the training manager in an IT department but can also include HR or PD when they have already identified an interest in what UniversitySite can do for them.
It is usually not recommended to have any technical team members present for the onsite implementation sessions. It is sometimes helpful to meet with technical staff to get their assistance with adding optional but helpful fields for the user sync tool which are frequently used to create audiences e.g. job title, job family/class, dept, hire date, etc. Preferably this has already been done during the initial user sync setup but can easily be added at this time or later.
Session 1: 9am to 2:30pm
The first day usually begins with a detailed guided tour of UniversitySite where Profiscience personnel will do their best to make you aware of all the capabilities you have in UniversitySite. It is not expected that firms will immediately begin using ALL the features right away but it is hoped that having been exposed to UniversitySite capabilities at least once, someone will remember what it can do when the need arises later and will at least know to look for that feature :). Help is built into UniversitySite to make this process as easy as possible. The in-depth guided tour usually concludes in the afternoon of the first day.
Session 2: 2:30pm to 4:30pm
Once the guided tour is completed the objective for session 2 is to provide some hands-on experience with some of the more common tasks you will likely need to perform in the near future so as to increase your comfort level with these tasks after implementation is ended. We will also focus this time on understanding the firm's expectations and intentions for immediate use of UniversitySite and taking steps to prepare for this use. This might mean creating audiences the firm will want to have in place, and drafting some plans the firm may need for rollout or new hire training.
Session 3: 9am - 12pm
The final day normally begins by finishing up unfinished business from session 2 and then reviewing all of the Global settings for UniversitySite in order to make sure you understand what controls you have over how UniversitySite works. These global settings are accessible only by a UniversitySite administrator which is a role usually reserved for the training manager and one or two trusted staff so as to avoid the problems that typically result when untrained personnel makes global changes to UniversitySite without understanding their impact.
