Templates are used to format outgoing mail. They can be modified to include your branding or add banners.

We recommend you consider taking the time to do this as it can greatly enhance the professionalism of your emails and improve your read percentages.

The variables supported by each template are listed in a drop-down menu, making it easy to insert them correctly.  You cannot mix and match variables between templates.  ONLY the variables listed in the drop down menu when you have a particular template selected will be listed.  If you use a variable from one templates with another template it may have unintended consequences or do nothing.

Inserting a custom banner in your templates?

Sometimes you want to include a nice banner at the top of your messages to improve the chances of being read and to stamp them with a recognizable firm image.

NOTE: If you notice that your template has been previously edited you might want to click the edit raw HTML button and copy everything to your clipboard and save this somewhere you can find later as a backup BEFORE you make your changes.  If you need to you can always restore defaults but this would of course remove your custom edits.

This is normally done via HTML by means of an image tag.  Before you can insert an image tag you must have an image saved in UniversitySite's file manager so that the images you use will always be visible to your recipients who can access UniversitySite.

Most emails are around 600px wide so keeping your banner under this width will ensure it looks good on just about every device. A ratio of 1:5 or 1:6 makes for a good shape, so we recommend a banner size of around 600x100

You can find the File manager page in Global settings under Miscellaneous. Use the green +Upload File button first, then you can click the Copy URL button to use with an image tag for your templates.

It is important that you only enter HTML such as your image tag in the HTML editor you get when you click "Edit Raw HTML".

Be sure you use the Send Test Email button to try out your edits with a sample email sent to yourself.

When you are done with your edits click the Save Template button.

Testing

It is very important that you test changes made to templates to be sure the changes work as expected, especially when removing variables.
