Manage Firm Policies in UniversitySite

Background

Many firms have the need to track when your staff or attorneys have read important firm policies or other documents and wondered if there was a way to manage this more easily in UniversitySite.

Previously we suggested creating simple eLearning to track policy compliance but now we have a better way that is much easier to setup.

It's called in UniversitySite a Generic Resource for an On-Demand type course.

When you create a new course in UniversitySite you can designate it as an On-Demand as opposed to instructor-led course.  This means that the course will automatically be completed when the On-demand content is viewed or completed.  In this case it will be completed by viewing a document.

Now for a little explanation.

This process makes use of courses because they can be part of learning plans e.g. when a new hire might need to sign off on a policy as part of her plan, and there are compliance reports on courses that might come in handy.  It is also very easy to share links to courses in UniversitySite.

Previously we only supported eLearning, but now there are TWO types of On-demand Content we support in UniversitySite for courses.

  1. elearning - traditional SCORM or AICC zip packages or even URLs
  2. Generic - This is the one you want for managing policies :)

Here's how we would accomplish this in UniversitySite:

Steps

  1. Create a course in UniversitySite of type On-Demand
  2. Select the On-Demand Content nav item on the far left to jump to that section
  3. Choose Generic Content as the Content Type
  4. Click the Add Generic Content link
  5. Specify either a URL or just click to Upload your policy document
  6. Decide what label you want to use to launch/view the policy and edit the Button Text accordingly
  7. Review the 3 options for Completion criteria that will make up the acknowledgement experience and adjust as desired

    For a policy we might display a prompt like: "I have read the policy in its entirety." and we might set the button text for acknowledgement to "I agree".
  8. Save your Course using the blue button on the left.
  9. Give it a test spin using the View Policy button (note, the screenshots at the top of this article are from LearningSite)
