Profile

The Profile section consists of the basic properties that define a course 

Title

Best practices for a course titles:

  • Keep it short.  Aim for no more than 50 characters.  
  • Use the description field for more details.
  • For app-specific courses, include the name of the app.  For example, use "Word 2016 ..." or "Acrobat 11 ...".

Description

Best practices for course descriptions:

  • Course descriptions are intended for learners, so they should be enticing.
  • Format descriptions by selecting text and applying formatting options from the properties panel
  • Include the learning objectives in a bulleted list

Some customers add hyperlinks to related courses.  Use the example below to create a label that users can click on.

Course Type

The three types of courses supported in UniversitySite are described below.

  • On-Demand - this course can be completed by simply watching a video, eLearning, or by viewing other content 
  • Instructor-Led - This course can be completed by attending a live event 
  • Both - This course can be completed either by either of the methods above; often used when a live event is recorded and made available as eLearning for those who could not make the live event

Prefix

Prefix and number are used to uniquely identify a single course.

Best practices for course prefixes:

  • Keep it short. Aim for no more than 4 to 6 characters.
  • For app-specific courses, use a combination of the app's name and version.  For Example, 'WORD16'.
  • For other courses standardize on a convention.  Keep in mind LearningSite users don't pay much attention to prefixes so they can be designed to the benefit of InstructorSite users.

Number

Keep it simple and start with 1.  The app will automatically increment the number for you.  

Alternatively, adopt the nomenclature used by universities:

  • 100-199 for introductory level courses e.g. 101, 102, 103
  • 200-299 for intermediate level courses e.g. 201, 202, 203
  • 300-399 for advanced level courses e.g. 301, 302, 303

Warning: When importing third party content in bulk, we discourage changing their prefixes or numbers to avoid confusion when importing their future updates.

Duration

For instructor-led courses, this defines the default duration used when creating an event.  For on-demand courses, this defines the amount of time it takes to complete the course as advertised in LearningSite.  

Type 1 in the HH field for an hour long course or 45 in the MM field for a 45 minute course.  

Status

In many cases, courses will eventually be marked as Retired.  Doing so, removes the course from LearningSite, while retaining learning history.

Tags

Tags make it possible to group courses together and find related courses.  Multiple tags can be assigned to a course.

On-Demand Content

For on-demand courses, there are two types of content to consider: eLearning and Generic Content.  

eLearning

Choose this content type for SCORM and AICC compliant eLearning packages

Active Version - Select the version you want learners to use.  If you choose none, learners will not be able to complete this course. For new courses there won't be an active version until you add a SCORM package.

Add SCORM Package - the default File upload is used for SCORM or AICC zip files. Use Remote AICC URL when adding AICC content from a remote server. 

Player Settings Preset - After selecting your file you can choose a different preset to control how this content plays but only do this if you are told to.

Add new version - As a best practice don't use versions.  Instead, delete prior versions and add the new content. When you use versions, people who had already started a prior version of eLearning will be taken back into that old version to continue it and finish it RATHER than the latest version.  Occassionally this is desired, such as when the eLearning is an hour long and starting over would represent a LOT of lost time, but for shorter content just delete old versions so people have to take the new one.

Generic

Use Generic content if you want to allow users to complete this course by viewing an attached resource.

Add Generic Content allows either uploading a file or adding a URL

Launch Options - The launch button can be changed from "View content" to something more specific such as "Play", or "View Policy".

Completion criteria

Title - this is the label used for the confirmation dialog when the content has been viewed e.g. Completion Certification, or Completion Confirmation or "Completed"

Message - The statement a learner will be asked to agree with to confirm they completed viewing it.  Feel free to edit this but don't change the meaning too much or they will be confused :)

Button text - What do you want the button to say that they click to acknowledge the previous message to the effect that Yes, they did view the content in its entirety?

Current Content To remove the currently uploaded file just click the X next to it.

Replace Generic Content will appear once you've uploaded a file

Attachments

This section is used to associate any number of EXISTING resources with this course.  Use the Select Resource button to do this.

To remove a resource from this course use the X to the right of it.

Certificates

Instructor-Led - If you select a certificate for this course we will use this certificate when you print certificates for this course.

On-Demand only - If you want a certificate emailed automatically to those who complete this course turn this switch on and select the Default or other Certificate. 

Credits

Use the Select Credit button to choose from existing credits and then specify the amount this course should award. To view or edit the credit, use the icon pictured below.

Email

People can be notified by email when learners complete this course.

Security

Control who can edit this course in InstructorSite and who can view it in LearningSite.

Audiences

Audiences are used to determine who can see this course in LearningSite. 

Note: After assigning an audience YOU will no longer be able to see it in LearningSite unless you are a member of the audience. 

Departments

Departments serves the following purposes:

  • prevent instructors from other departments from editing this course
  • inform learners which group within the firm is responsible for this course.  
  • in both InstructorSite and LearningSite courses can be filtered by department

Advanced

This section is less frequently used but contains a number of useful options.

  • Retakes - For on-demand courses, when set to unlimited retakes users will be permitted to retake the course as often as desired.
  • Prerequisites - Completion of courses may be required prior to taking this course.
  • Enforce Compliance - This only appears when prerequisites exist.  When enforced learners will not be permitted to take the course until completing the prerequisites.  When prerequisites are not enforced learners will be informed of prerequisites but permitted to continue anyway.
  • Expiration Date - This is a new feature that helps you keep your content fresh and up to date.  It is only used to help you find content you should review at a later date as the expiration date nears.
  • Instructor Notes - reminders or notes to yourself or other instructors about teaching this content
  • Collect 5 Star Ratings - When ratings are enabled enabled, learners will be prompted for feedback after exiting or an on-demand course and instructors will be prompted to send feedback requests to attendees when attendance is recorded for a live event. 
  • Exempt from Manager Approval - LearningSite has a built-in workflow for requesting approval to take a course. If managers set preferences in ManagerSite to require employees to obtain approval, LearningSite will send learners through an approval workflow before they can take this course. Set this course to "Exempt from Manager Approval" to bypass the approval process for this course.  Tip: It's a good idea to enable this bypass for required courses, but if there is a per-user cost associated with taking this course, it might be wise not to bypass approval workflow. 
  • Course is Assessment - If the purpose of this course is really for instructors to identify what learners know, setting this course as an assessment will change the course icon and put it in a group with other assessments for filtering purposes.
  • Allow users to override their completion status (self attest) - Sometimes SCORM packages incorrectly report that a course has not been completed even though the user has viewed all the content.  Turn this option off to prevent users from changing their incomplete status to complete.  We recommend you ALLOW this due to the many reports we have had from frustrated users.
