Update or Remove Prefixes in Bulk

Background

From time to time you may realize you have prefixes in the course editor drop down list that you wish were no longer there.  This article is designed to help you remove them.  There is no prefix editor as I'm sure you've noticed :).

It may also be that you simply want to redesign your catalog naming scheme and update many prefixes at once.

Prefixes are tied to courses.  When you click the prefix drop down on a course editor the list will always be populated with all prefixes that are currently assigned to at least one course.

The way you get rid of undesirable prefixes is assign a new prefix to any courses using the unwanted prefix, OR you can try disabling those courses, although I admit I don't recall if disabling courses will remove the prefixes from the drop down list or not.

Clearly if you deleted those courses the prefixes would be gone too but we don't usually recommend that due to loss of all history of attendance or completions tied to that course.

So to either remove unwanted prefixes or update them with new ones follow the steps below.

Steps

The easiest way to mass update prefixes is as follows:

  1. Open the Admin tools
  2. Import/Export Admin Tool
  3. Export the Training courses to a csv file
  4. Edit the prefixes on that sheet, removing any rows you don't need to update or change (this does not remove those courses.  We are going to perform an update based on the remaining courses)
  5. Keep your file in the csv format
  6. Import Training Courses 

NOTE: Do NOT remove the ID column when doing this import.  It is essential.
